Contact Referees and Academic Institutions
Review Reference Letters and Transcript requirements. Contact potential referees and academic institutions well in advance of the November 15, 2007 full application deadline.
Communicate with your Supervisor(s)
Discuss your intent to apply to the Research Trainee Program with your supervisor(s). Review the deadline dates and submission process with your supervisor(s).
Create an MSFHR ApplyNet Account
All applicants and supervisors must have an MSFHR ApplyNet account. If you are new to the system you will need to create an account. To set up your account log on to MSFHR ApplyNet. Accounts for previous users of MSFHR ApplyNet are still active; contact the MSFHR Help Desk if you encounter any problems.
Complete and Submit the Common CV (CCV)- Abbreviated Version
Applicants must submit the MSFHR abbreviated version. Supervisor(s) must submit the MSFHR full version. The Common CV is submitted electronically through the CCV website and links to your application in MSFHR ApplyNet. For Details on linking your CCV to MSFHR ApplyNet, see the MSFHR ApplyNet Tutorial.
Important Update: Only CCVs submitted after August 30, 2007 will be accepted.
Please Note: The MSFHR CCV attachment only includes information about publications and patents. The Full Application web form contains the following fields: Most Significant Contributions, Activities and Contributions, and Career Interruptions. Attach your Common CV attachment through the "Contributions - Details" screen in the CCV.

Submission Process
The submission process for the Letter of Intent (LOI) stage:
- Complete and Submit your Common CV(CCV) - MSFHR Abbreviated Version.
- Complete and Submit your Letter of Intent - the LOI and CCV must be submitted by 4:30 pm, Pacific Time, October 15, 2007.
- Changes can not be made to the LOI after submission. Updated CCV’s can be resubmitted at the full application stage.
The submission process for the Full Application stage:
- Review your Full Application with your Supervisor(s).
- Inform your Supervisor(s) that they can complete their Supervisor Form.
- Submit your Full Application; changes cannot be made after submission.
- Inform your Supervisor(s) they can submit the application package to the Host Institution. The package includes: Applicant Full Application Form, Applicant CCV, Supervisor(s) form(s), and Supervisor(s) CCV(s). Changes cannot be made after submission.
- Host Institution approves and submits the Full Application package to MSFHR by 4:30 pm, Pacific Time, November 15, 2007.

Letter of Intent (LOI)
The following information explains the individual sections and screens in the Letter of Intent web form.
Award Category and Theme
The purpose of this section is to determine which award category and theme you are applying to. At the JGS/SGS level of award categories are determined according to years of graduate research training and at the PDF level by the number of years since degree completion. The reference date is the competition deadline. For category and theme definitions review the Guidelines.
Identification
In this section enter your BC Academic Affiliation and your Research Location. The research project location must be a BC academic organization or affiliated institution (i.e. BC Cancer Agency).
Research Supervisor and Co-Supervisor
The purpose of this section is to identify your supervisor(s). Enter the name of your supervisor(s) and their academic affiliation.
- An applicant can have up to two supervisors.
- The Primary Supervisor must be an investigator holding an academic appointment in a BC academic organization; however the Co-Supervisor can be an Adjunct Professor.
- Supervisors must have a productive health-oriented research record and sufficient resources to ensure the satisfactory conduct of the research.
- Supervisor(s) need to complete a Supervisor Form and Common CV - MSFHR Full Version.

Research Project Title
Specify the title of your Research Project.
Research Summary
Describe key elements of the project that will justify your choice of research theme and guide the selection of evaluation committee members.
Career Interruptions
Applicants must note any career interruptions. Specify the start and end date of each interruption and explain the circumstances that delayed your research training activities.

Submission
Your LOI and CCV - MSFHR Abbreviated Version must be submitted to MSFHR no later than 4:30 pm Pacific Time on October 15, 2007. No changes can be made to your LOI once it has been submitted.
Upon submission of your LOI, the Trainee Program Manager will determine your eligibility and inform you of your application status via email within 5 business days. After your LOI is approved you can access the Full Application form.

Full Application
Upon approval of your LOI, you can complete your Full Application. The following information details the individual sections and screens of the Full Application web form.
At the Full Application stage your CCV can be updated. If your CCV is updated, you must re-submit it through the CCV website before submitting your Full Application.
It is recommended that applicants submit their Full Application and CCV at least two weeks prior to the November 15, 2007 deadline date to allow time for the Supervisor(s) and Host Institution to complete their approval.
The following information explains the individual sections and screens in the Full Application web form.
Validate your File Number
Enter and validate the file number that was provided when you submitted your Letter of Intent to MSFHR. This is now your application file number. Some information from your LOI web form will pre-populate your Full Application web form.
Research Award Category and Theme
Your award category has been approved by MSFHR; if a change is required e-mail the Research Trainee Program. If you wish to make a change to the research theme you may do so.

Period of Support Requested
Indicate the proposed award start date and period of support.
- Junior Graduate Studentship - two years maximum.
- Senior Graduate Studentship - three years maximum.
- JGS/SGS Awards must start in April or September of the year offered.
- Post Doctoral Fellowship - three years maximum, awards must start within 12 months from the date of offer.

Identification
- The University field in the BC Academic Affiliation section determines which institution will review and approve your application package.
- The location where the research project will take place must be a BC academic organization or affiliated institution.
- It is mandatory to indicate if you are a Health Professional or not.
Supervisor and Co-Supervisor
Enter the MSFHR system account e-mail address of your supervisor(s) and click the validate button; this will link your application to your Supervisor's form. You cannot change your supervisor's system account.
Successful validation of your supervisor's email address allows your Supervisor(s) to review your application (in read-only format), and activates their Supervisor form in their MSFHR ApplyNet Portfolio.
Career Interruptions
Applicants must note any career interruptions. Specify the start and end date of each interruption and explain the circumstances that delayed your research training activities. If previously entered, the information in this section will be pre-populated from your LOI.
Research Project Title
The Research Project title has been pre-populated from your Letter of Intent submission. This field can be updated.
Lay Summary
Provide a clear non-technical summary of your research, written in plain language and suitable for a lay audience. This summary should indicate how your research, ultimately, can improve health and/or health delivery systems.

Research Project - PDF Attachment Required
It is expected that the applicant write the research project. It should be a maximum of 3 pages, plus 1 page for references. The research project must be attached as a PDF document.
Include the following in your research project description:
- research questions
- specific hypothesis
- objectives
- methodologies
- your role on the project
- references
Training Environment
Justify your choice of research location:
- the facilities
- equipment
- personnel support
- project funding source
- researcher interaction
Other Activities
If applicable, describe other activities and the percentage of time involved (per week/month/year).
- Teaching
- Supervision
- Seminars
- Clinical activities

Contributions
Most Significant Contributions:
Identify a maximum of five (5) contributions that best highlight your most significant contributions to research. Define the impact and relevance of each.
Activities and Contributions:
The activities and contributions defined in this section should include both academic and non-academic achievements, and their impacts. If applicable, enter detailed information concerning your supervisory experience here.
Training Expectations
Indicate the training you will be involved in while undertaking this research project, as well as the start and end dates of the training.
Junior and Senior Graduate Studentship Applicants:
- provide an overview of your research career goals
- identify the skills, theories, conceptual approaches etc. to be learned or enhanced during the award period
- describe how these proposed research training activities will contribute to the achievement of your current and future research career goals
Post Doctoral Fellowship Applicants:
- provide an overview of how your previous research training relates to your present position and elaborate on your career goals
- describe how the training you expect to acquire will contribute to your future research achievements and productivity and how the award will enable you to establish yourself as an independent Investigator
- provide justification if you are planning to hold this award in the same laboratory or with the same supervisor associated with your graduate training

Confirmation of References and Transcripts
Provide a list of all reference letters and transcripts that will be sent directly to MSFHR.
Reference letters should:
- describe the applicant's personal characteristics (motivation, intellectual capacity, maturity, etc) and academic strengths
- provide specific details about the applicant's recognized or potential research expertise, competence and abilities
All applicants are required to submit two letters of reference.
- For Post Doctoral Fellowship applicants, one of the two reference letters must be from their PhD supervisor (if applicable).
- For JGS/SGS applicants, your current supervisor(s) cannot be one of the two referees.
Each letter must be received in a sealed envelope and signed across the seal by the referee and sent directly to the MSFHR office at 200-1285 West Broadway, Vancouver BC, V6H 3X8, Attention: Research Trainee Program.
Transcripts:
- All JGS/SGS applicants must submit one (1) transcript from each academic organization attended.
- Transcripts must be current and official or a certified true copy. Copies may be certified by the proposed supervisor, department head or a notary public. Uncertified photocopies will not be accepted.
- For foreign transcripts, a certified English translation and a clear explanation of the grading system must be attached.

Submission Checklist
Prior to Submission:
- Review and consent to the signature agreement.
- Ensure the appropriate PDF document is attached.
- Ensure that if you have updated your CCV that you have re-submitted it through the CCV website.
- Review your application for grantsmanship (grammar, spelling, no jargon).
- Review your application with your supervisor before you submit. No changes can be made after submission.

Supervisor CCV - MSFHR Full Version
Supervisors must finalize and submit their Common CV - MSFHR Full Version to MSFHR ApplyNet. For a tutorial on how to link your CCV to MSFHR ApplyNet, see the MSFHR ApplyNet Tutorial.
Supervisor Web Form
The Supervisor web form becomes available for completion after the applicant has validated the Supervisor(s) System Account Email in the Full Application web form.
The Supervisor can submit their form after the Trainee submits their Full application. For a tutorial on how to access and complete the Supervisor form, see the MSFHR ApplyNet Tutorial.
The following information explains the individual sections and screens in the Supervisor Application web form.
- Identification/Research Project Title/ Supervisor or Co-Supervisor Research Program:
- The Supervisor(s) Identification information, the identification of the applicant, and the applicant's Research Project Title are populated from the applicant's Full Application web form.
- Supervisors must enter information about their research program and describe how the applicant's project relates to their program.
- Source of Funds/Reference
- Supervisors must indicate their source of funds and related information: type of fund, annual amount and funding duration.
- Describe any additional information regarding the source of funds (i.e. if no funding is needed or if it comes from multiple sources).
- Supervisors must comment on the applicant's personal characteristics and academic strengths; recognized or potential research expertise; and the research environment where the applicant's project will be done.

No changes can be made to the Supervisor form after sumbission.
After the Supervisor web form is submitted, the Full Application Package is ready for Host Institution review and approval. The Host Institution must approve the Full Application package by the deadline: November 15, 2007 4:30 pm Pacific Time. After Host Institution approval, the Full Application package is available for review by MSFHR.
